Reports to: Senior Director of International Programs 

Mission: 

Youth for Understanding USA (YFU) advances intercultural understanding, mutual respect and social responsibility through educational exchanges for youth, families and communities.  Through the exchange experience, YFU students gain intercultural understanding, learn mutual respect, and develop a sense of social responsibility. Their experience abroad gives them leadership competencies necessary to meet the challenges and benefit from the opportunities of a fast-changing global community.

Purpose of Position:

This Registrar is responsible for providing leadership to plan, organize and manage all of the activities related to the Registration Department. Oversee all program participant records while serving as a designated alternative responsible officer and primary point of contact for determining eligibility and allocations among YFU international partners. Manage the complete vetting of host family applications according to Department of State (DOS) regulations.  Manage and maintain the administrative functions of the office in an efficient and accurate manner. Responsible for the preparation of participation letters, letters of appeal, and other communication in support of our international partners with the US Consular office, as well as communication with our outbound participants as required.

Essential Functions:

  • Hire, supervise, and evaluate Registration Specialists, part-time staff, work study students, interns and other temporary staff as required. 

  • Manage the organization and oversight of participant records including required follow up while ensuring efficient and effective workflow within the registration department.

  • Equitably assign all student participants files across the country while ensuring maximum quality to facilitate expedient placement within the fields.

  • Supervise the coordination and oversight of compliance standards as established by the State department and YFU USA regulations of all inbound student placement documentation.

  • Oversight of all host family applications for final approval of placements as well as the management of the authentication of placement records to verify consistent application of standard operating procedures.

  • Prepare DS-2019 forms for inbound international students as a designated alternative responsible officer.

  • Continuously improve standard operating practices and procedures within the department to ensure compliance requirements and YFU quality standards.  

  • Assist with the development  and administration of the departmental budget

  • Continuously improve the processes and sustainability efforts within the registration department including paperless record keeping systems and reductions in material resources.

Marginal Functions

  • Occasional overnight travel

  • Provide administrative program support to Senior Director of IS Programs

  • Other duties as assigned.

Minimum Qualifications: 

  • Bachelor’s Degree or equivalent

  • Solid office management experience and skills required

  • Intermediate computer proficiency in word processing, spreadsheet and database applications;

  • Attention to detail; accuracy and ability to meet deadlines necessary.

  • Minimum five years’ work experience in office management administration; budget and finance experience preferred

  • Ability to effectively manage office responsibilities with minimal guidance

  • Able to be productive in a deadline-driven; fast-paced environment as well as during off-peak times.

  • Professional oral and written communication skills in written and verbal; excellent telephone manner.

  • Ability to determine priorities and to establish processes to meet job requirements

  • Strong initiative; excellent judgment and tracking skills; dependable, reliable and ability to be flexible

  • Available to work beyond normal business hours when required

  • A team player; a positive, can-do approach with the ability to also effectively work independently
