Youth For Understanding (YFU) advances intercultural understanding, mutual respect and social responsibility through educational exchanges for youth, families and communities.  Through the exchange experience, YFU participants gain intercultural understanding, learn mutual respect, and develop a sense of social responsibility. Their experience abroad gives them leadership competencies necessary to meet the challenges and benefit from the opportunities of a fast-changing global community.

Position Summary:   

Position Summary:   The Sales Support Associate is responsible for providing administrative support and coordination to a dynamic team of inside and outside sales staff and the Director of Sales. This position supports fulfillment of sales goals by assisting with customer relations and marketing, tracking student applications, and providing general office support and other lead fulfillment activities.

Essential Functions:

  • Serve as a professional representative for YFU.  In collaboration with the external and internal sales team, execute sales plans to meet and exceed defined goals.

  • Responsible for supporting sales plans for three sales team members and the Director of Sales by:

    • Assist in editing/creating promotional flyers for various YFU inbound/outbound programs.

    • Assist in editing/creating specific sales marketing plans for YFU programs.

    • Mailing out all hard copy request of YFU promotional and marketing materials.

  • Provide administrative support and support workflow of the sales team by:

    • Develop and maintain a thorough knowledge of all inbound and outbound programs

    • When appropriate route qualified opportunities to the outside or inside sales team or Sales Director for further development and closure

    • Update and manage customer information in the CRM adhering to strict YFU protocols.

    • Manage the YFU daytime online chat function and forward leads (both daytime and night time) to appropriate sales team members.

    • Manage the -1800-TEENAGE line, including answering phones, checking messages, forwarding messages to the proper staff person.

  • Coordinate student application and enrollment process by:

    • Generate sales reports each week and submit to management for review.

    • Tracking of team sales numbers.

    • Be point person for scholarship applicants and communicate status of applicants including tracking of enrollment process to sales team, Director of Sales and Director of Development.

    • Assign student applicants and enrollees to Campus Ambassadors as directed and track progress of communication ensuring consistent account management best practices.

    • Coordinate student applications with Registration and track all applicants to follow up for conversion/enrollment process with sales team members.

    • Ensure all student applications are followed up with IT on a daily basis to ensure they are being processed in a timely manner.

  • Coordinate logistics for sales team events including:

    • Manage the Event calendar for the Programs division.

    • Scheduling of events.

    • Scheduling travel and hotel accommodations for sales team.

    • Coordinating with the field staff, volunteers and sales team regarding staffing of events.

    • Packing/planning of all supplies and promotional items needed for events.

    • Assist the rest of the sales team with research on potential events, new customer bases, schools, partners, and other key players.

  • Perform other duties as assigned.


Qualifications and Requirements:

  • 3-5 years administrative or account management support, with marketing and/or sales administrative experience preferred.

  • Strong organizational, planning, and logistical skills

  • Strong telephone presence

  • Strong analytical skills

  • Working knowledge of Adobe, Excel, Microsoft Word, and PowerPoint programs

  • Excellent verbal and written communications skills

  • Strong listening skills.

  • Comfortable in a fast-paced, results-oriented environment.

  • Ability to work outside traditional work times due to weekend or evening calling and follow-up needs.

Physical Requirements:

  • Talking and hearing skills
  • Ability to lift up to 25 pounds
  • Repetitive motions of wrists, hand, and /or fingers
  • Working conditions - this position is not substantially exposed to adverse environmental conditions
